Managing Token Usage
How to set token limit and see usage reports.
How does pay-as-you-go token billing work?
If your organization uses more tokens than your plan includes in a billing month, the extra tokens are billed pay-as-you-go at your plan's per‑1,000 token rate. Pay-as-you-go usage is totaled over the billing month and billed on your next billing date (the same day your subscription renews).
What detailed usage reports and exports are available?
Astell provides token usage reporting across ingestion so you can see where tokens are going and attribute usage internally. Since tokens are pooled at the organization level on Tree and above, this reporting helps you understand which ingestion activity is drawing from the shared balance. Reports include:
- Document processing: documents processed, pages processed, top file types, most active integrations
- Media processing: images processed, videos/audio processed, total minutes of media
You can also export CSV reports for internal billing or chargeback. Exports are available for the last 12 months.
If tokens are pooled, can I still see usage by user?
Yes. Even though tokens are pooled, usage reporting can still be broken down so you can attribute ingestion activity internally (for example, by user, source, and content type) where available in your reporting/export.
Will I be notified about my token usage?
Yes. We send three separate reminders as you approach your token limit for the billing month through automatic email alerts:
- 75%: “You've used 75% of your monthly token limit”
- 90%: “You're approaching your token limit”
- 100%: “You've reached your token limit”
You can also enable an optional weekly summary email to understand your or your team's weekly token usage in detail.
How do I configure token notifications?
To configure token notifications, see "How to monitor your token usage"
When do tokens reset?
Tokens reset on your billing cycle date each month. Example: if you subscribed on the 15th, your tokens reset on the 15th of every month.
Do unused plan tokens roll over?
No — unused tokens do not roll over to the next month.
